Administrative Support Assistant Location: Westminster, CA Pay Rate: 19.06/hr on W2
Duration: 16 months or longer

JOB OVERVIEW
APR is currently looking for an Administrative Support Assistant.

Responsibilities

  • Administrative and Clerical: Prepares, maintains and organizes meetings, including presentations, correspondence, documents and other materials, to ensure the managers and staff are able to retrieve and gain access to necessary materials in an organized manner. Responsible for daily administrative and clerical tasks and functions including; reviewing and processing incoming/outgoing mail, maintaining files both hard copy and on-line, responds to and/or routes external and internal customer calls/inquiries. Orders supplies and maintains inventory of necessary equipment and supplies. Reports and manages facilities and/or equipment maintenance and repair requests.
  • Calendars and Scheduling: Manages multiple complex and constantly changing calendars, prioritizing meetings based on importance/urgency and taking into consideration the manager or staff needs for preparation and travel time. Manages multiple on-line calendars, including scheduling meetings, securing conference rooms. Scheduling and coordinating travel arrangements, conference, and training registrations. Coordinates routine to large scale meetings and events, including department and division all hands meetings and workshops.
  • Confidentiality and Information Management: Has visibility to and manages highly confidential and sensitive information. Knows when and how to escalate issues sensitive in nature. Researches, recommends and implements appropriate course of action. Help prepare for meetings by proactively gathering/organizing material (e.g., binders, handouts). Processes expense reports, purchase orders, procurement and requisitions, timekeeping, and invoices utilizing SAP. Reconciles data (e.g., invoices, credit card statements, spreadsheet data, etc.), identifies inconsistencies and inaccuracies, and takes needed corrective action.
  • Other Assignments and Duties: Provides support for special projects and/or assignments; prepare agendas, take and distribute minutes and action item lists as requested; monitor, track, and follow up on action items with department staff to ensure completion and commitment to deadlines; collect data, analyze, draft and format documents, spreadsheets, and reports (including charts and tables), as well as coordinate and prepare presentation materials.

    QUALIFICATIONS To qualify for this opportunity candidates:

    • US Citizens or Permanent Residents
    • HS Diploma or equivalent, 5 to 10 years' experience
    • Proficient in Outlook, Skype, SharePoint, Word, Power Point and Basic Excel
    • Broad knowledge of computer software, on-line applications, office equipment, and filing systems
