Location: 18321 Clark St Tarzana, CA 91356

Position: Executive Assistant

Pay Rate: $40-45/hr.

Duration: 13 weeks (Potential Contract to hire)

Expected Shift: 5×8-Hour (8AM – 5PM)

 

JOB SUMMARY

Under general supervisor, the Executive Assistant performs standard and advanced professional, confidential and executive level administrative project support to ensure that services are provided in an effective and efficient manner for the Chief Nursing Officer (CNO) and provide back-up support to the Board of Directors and Board Committees, and other executives and committees as needed.

 

ESSENTIAL FUNCTIONS:

·        Prioritizes work and provides prompt and efficient service.

·        Demonstrates competency in selected administrative skills. Including but not limited to:

·        Processes and maintains confidential information and correspondence; organizes and maintains hospital and department records (e.g., financial reports, physician contracts, legal matters, meeting minutes, etc.).

·        Manages office-related activities for the executives, including, but not limited to, space planning, furniture needs, building maintenance and safety, ordering supplies for entire suite, maintenance of copy machines and scheduling of trash/recyclable pickup.

·        Handles the planning and preparation of meetings, conferences and conference telephone calls.

·        Manages and maintain all equipment from laptop to conference phone.

·        Manages complex calendars.

·        Serves as liaison between team members and the SCLHS office, other Health Center personnel and outside customers on behalf of the CNO. This includes reviewing projects/memos and delegates responsibilities to appropriate parties in the CNO's absences.

·        Schedules and coordinates conferences, which includes travel and lodging arrangements.

·        Collects and prepares information needed by the CNO for conferences and reports.

·        Composes letters and memoranda from verbal direction, written concepts or from knowledge of hospital policy or procedures; prepares memoranda and other materials for staff and business meetings.

·        Receives and handles calls and messages both from outside clients and within the department promptly and courteously using critical judgment in transferring calls to Directors or Managers as appropriate.

·        Prepares presentations for various audiences, utilizing PowerPoint and other software and other technical devices.

·        Handles patient complaints independently, involving appropriate parties as necessary. Keeps records of such complaints and resolutions.

·        Performs various tasks that are diverse and administratively advanced.

·        Performs project or committee work as assigned. Including but not limited to:

·        May be assigned to be lead for the project or committee.

·        May be assigned to be a member of project team or committee team.

·        Demonstrates responsibility and accountability for own professional practice in regards to:

       Attendance, punctuality, confidentiality and professionalism.

       Positive public relation image and working relationships.

       Obtaining necessary knowledge and skill needed to maintain competence.

       Completing all mandatory requirements.

       Strive to streamline processes and improve efficiency of the department.

·        Participates in the development and attainment of team, department and hospital goals including:

       Volunteering or accepting assignments for projects.

       Mission, vision and team ground rules.

·        Fax, photocopy, and other administrative duties.

 

QUALIFICATIONS

·        EDUCATION: Bachelor's Degree

·        3 years Administrative or Executive Secretary level position or equivalent education.

·        Must have worked as an EA in a hospital system before.

·        Self-sufficient

·        Experience with project management and event planning.

·        Experienced with coordinating travel. Must be open to traveling as needed to conferences.

·        Experienced supporting 2 C-suite executives

·        Previous experience working with a board of directors is preferred.

·        Proficiency in Microsoft Office Suite, Word, Excel, PowerPoint, Access, Outlook and various hospital network programs.

·        Excellent analytical and problem solving skills.

·        Excellent time management skills.

·        Ability to work independently with little or no supervision.
