Administrative Assistant
An aerospace client is looking for an Administrative Assistant who will performs reception duties at entrance to client’s Hill AFB office; welcomes visitors, keeps visitor log sheet, maintains badging, etc
Location: Hill AFB, UT 84056 (On site)
Position: Administrative Assistant
Pay Rate: $25/hr – $31.09/hr. on W2 (DOE)
Duration: 24 months or longer
Schedule: 1st Shift (9/80A)
Responsibilities:
- Performs reception duties at entrance to client’s Hill AFB office; welcomes visitors, keeps visitor log sheet, maintains badging, etc
- Initiator of all government access forms, maintaining standards to ensure forms are filled out properly and follow the government process
- Proactively manage calendars for assigned staff. Prioritize and schedule meetings, handle quick turn requests, monitor and act upon upcoming needs, and resolve frequent schedule conflicts
- Support reporting and presentation requirements. Collect and summarize data, prepare draft documents, plan and schedule reviews, and facilitate complete and timely submissions
- Make domestic travel arrangements and process expense reports in a timely manner for assigned staff
- Attend staff meetings, publish agendas and follow-up on action items
- Arrange and execute support for a variety of internal and external on-site meetings, including conference room reservations and catering
- Helps maintain program tasks in the Jira platform and digital files on Microsoft Teams
- Provides secretary duties for our Configuration Control Board (CCB)
- Orders and maintains office supplies
Basic Qualifications:
- U.S. Citizenship required.
- High School diploma or equivalent and a minimum of 4 years professional experience as an Administrative Assistant or performing administrative work
- Proficient in MS Office Suite (Word, Excel, Outlook and PowerPoint)
- Ability to obtain and maintain a DoD Secret Security Clearance within a reasonable period of time as determined by the needs of the business

- Strong interpersonal, communication and organizational skills
- Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities
- Strong ability to multi-task with competing priorities in a positive manner
- Experience in planning, coordinating and overseeing catering for corporate meetings
- Strong proofreading and document preparation skills
- Ability to exercise good judgment while demonstrating flexibility and agility, prioritizing multiple tasks with competing deadlines, managing schedule conflicts, and providing excellent follow-through
- Demonstrates outstanding verbal, interpersonal and written communication skillss
