Position: Medical Staff Services Coordinator
Pay Rate: $29/hr
Duration: 13 weeks
Expected Shift: 40 hrs/week
8am to 4:30pm
Required:
* HSD/GED
* 2 years of medical staff services experience
* Strong computer skills/technical ability
Preferred:
*Associates' or Bachelor's degree
Primary Duties and Responsibilities
• Prepares department and committee agendas in coordination with the Chair; writes clear, error-free minutes promptly; distributes follow-up memos or letters timely; creates action and information reports for the Medical Executive Committee (MEC); maintains an efficient system to request, track, and follow up on peer reviews and incident reports with proper documentation; and notifies members of upcoming meetings.
• Coordinates materials (appointments, reappointments, withdrawals of application, leave of absence, proctoring, privileges, etc.) from appropriate sources, compiling the Credentials Reports from the Medical Staff Departments to the MEC.
• After approval of appointments/reappointments by the Medical Staff Departments, manages documentation of approval of Medical Staff membership and privileges in the credentials’ files (checking approved/deferred and stamping the date of approval).
• Tracks proctoring and provisional chart review progress for initial appointments and new privileges. Sends routine progress notifications to practitioners to ensure completion within 24 months, after which membership is resigned or privileges relinquished. Prepares proctor evaluation forms for Department Chair review to confirm satisfactory completion. Notifies practitioners and relevant hospital departments when proctoring is complete. Updates and posts monthly Medical Staff Proctoring Reports on the shared drive for ongoing staff access.
• Manages the coordination of leave of absences (LOA) requests (data entry, Credentials Reports to Medical Staff Departments, letters to physicians/Allied Health Professionals, notifications to Hospital departments).
• Manages the privilege form project by drafting revisions to forms, including qualifications, proctoring, and maintenance criteria, and collaborating with physician champions to ensure hospital-specific updates. Submits finalized forms to the Medical Staff Department, MEC, and Board for approval. Distributes new forms to specialists with a 30-day return deadline per policy, warning that privileges will be un-exercisable if not returned. After approval, notifies physicians by letter and enters privileges into the eRoster system. Completed privilege forms cover multiple specialties, including Anesthesia, Bariatric Surgery, Emergency, Internal Medicine, Pathology, Radiology, Urology, Clinical Nurse Specialist, and centers like Marina Weight Loss and Spine.
• Developed and managed an H&P Examination Quality Review process to monitor practitioner compliance with Medical Staff Rules. Each month, 30 H&Ps are selected via the Census Report, printed, and reviewed by designated Medical Staff members using evaluation forms. Compliance data is compiled into quarterly reports for departmental review and to meet all targets. Practitioners receive educational letters highlighting areas for improvement.
• Assists with the annual MD/AHP Flu Vaccination Project, contacting MDs/AHPs, collecting documentation, logging materials, sharing materials with Employee Health, assisting with maintenance of the suspension list to Hospital Departments and notifying those MDs/AHPs on and off suspension.
• Maintains in-depth knowledge of Medical Staff Bylaws, Rules/Regulations, and policies to support compliance. Assists in drafting and revising bylaws, policies, forms, and related documents annually and as needed.
• Interacts professionally with all visitors, personnel within the department and in other departments, physicians and Administration, maintaining a good working relationship with co-workers.
• Demonstrates awareness or the responsibilities of the position and how it interfaces with the entire healthcare team. Works closely with all department members as required, is flexible to meet the needs of the department and changes in the workplace.
• Accepts other duties as assigned.
